This Privacy Policy explains how Everae Virtual Solutions, LLP ("Everae", "we", "us") collects, uses and shares information through our website, everaevirtualsolutions.com, and through Everae HQ, the private web app our team uses to plan the content we create for the businesses we work with.

Who this policy covers

  • Visitors to our website.
  • Everae team members who sign in to Everae HQ.
  • Anyone who connects an Instagram account to Everae HQ through Facebook Login for Business.
  • People whose public Instagram posts appear in Everae HQ's hashtag search.

What we collect

On our website. Information you choose to send us, such as your name and email address when you contact us, sign up for our newsletter or book a call. Squarespace, which hosts our website, may also collect standard technical information such as your IP address, browser type and the pages you visit.

In Everae HQ.

  • Team members' Everae HQ account details: name, email address and sign-in information.
  • When an Everae admin connects an Instagram account through Facebook Login for Business: the connecting person's app-scoped Facebook user ID and access token, the ID and name of the Facebook Page they choose, and the linked Instagram professional account's ID, username and profile picture.
  • Public hashtag results: the current top public Instagram posts for hashtags in our clients' content plans. These load live each time and are not stored. Hashtag search does not return the usernames of the people who posted, and we don't look them up.
  • Links to public Instagram posts that a team member chooses to save, with that team member's own note. We don't copy captions, photos or videos.

How we use it

We use this information only to run our website, respond to you, and plan content for our clients. Everae HQ uses the connected Instagram account to run hashtag searches on that account's behalf, and saved links become ideas in client content plans.

We do not sell personal information, use Meta data for advertising, or build profiles of individual people. Everae HQ never posts, comments, likes or sends messages on Instagram.

Who processes it for us

We share information only with service providers that help us run our website and Everae HQ, and only so they can provide that service:

  • Squarespace, which hosts our website.
  • Vercel and Modal, which host and run Everae HQ, and our database provider.
  • Anthropic, whose Claude API helps us draft content plans from saved ideas.

We may also disclose information when the law requires it.

How long we keep it

  • Instagram connection details (access token, Facebook Page ID, Instagram account ID and username): until the account is disconnected from Everae HQ.
  • Saved Instagram post links and notes: 12 months, or sooner if the client's content plan is archived.
  • Website messages and newsletter sign-ups: as long as we need them to respond to you, or until you unsubscribe.

Deleting your data

Our Data Deletion page explains how to remove the data we hold about an Instagram connection. You can also email info@everaevirtualsolutions.com at any time.

Your choices

You can unsubscribe from our emails using the link in any message. To ask what personal information we hold about you, or to have it corrected or deleted, email info@everaevirtualsolutions.com.

Security

Only authorized Everae team members can sign in to Everae HQ. Access tokens are kept on our server, never in the browser, and are deleted when an account is disconnected.

Children

Our website and Everae HQ are not directed to children under 13, and we don't knowingly collect their information.

Changes to this policy

When we change this policy, we'll update the date at the top of this page.
